Job Summary
The Shipping Clerk is responsible for preparing shipments.
Essential Functions
- Allocate both FedEx, UPS, ground and LTL orders for shipping & provide product locations as needed.
- Assist order Pickers with issues pertaining to stock status.
- Process completed orders / Invoice orders.
- Obtain, compare, & provide rate quotes for shipments, including LTL, small package, and international to determine best option according to shipment instructions/requests.
- Process completed orders and invoice in E21, create necessary documents by using Adobe Acrobat to edit & include shipment information as well as customer specs, i.e., invoices, packing slips, BOL’s, custom documents.
- Process LTL orders through scheduling software.
- Distribute outbound/inbound reports daily.
- Create commercial invoices/packing slips for domestic/export returns.
- Email requested shipping documents & info to customer contacts and internal contacts.
- Complete customer ASNs.
- Invoice shipments through assigned customer portals when applicable.
- Investigate customer claims of shortage/loss/damage/non-delivery to find root cause.
- File & monitor merchandise claims with carriers & log onto spreadsheet.
- File & monitor LTL transportation charge claims & log onto spreadsheet.
- Obtain & arrange carrier pickup according to Dill or Customer specifications.
- Generate & validate EDI invoices.
- Process invoices daily & place in outgoing mail.
- Attend required meetings.
- Process international shipments (Ground & LTL with documentation).
- Resolve customer issues (internal & external).
- Provide general shipment info to 3PL’s and carriers as requested.
- Compare 3PL & carrier cost and transit times for potential beneficial opportunities for Dill Air Controls and add info to spreadsheet.
- Monitor shipment tracking through portals and email notifications.
- Attend meetings with carrier representatives as needed.
- Issue call tags for RMA’s and email info to customer service, receiving, quality, and inventory.
- Intercept shipments and have them re-routed when necessary.
- File & sort shippers, pick slips, BOLs and custom documents daily & maintain for 90 days.
- Update and maintain shipping instruction information.
- Close out orders.
Qualifications
- Basic computer skills (Microsoft Office).
- Ability to create Excel reports.
- Ability to effectively communicate via phone, email and face-to-face.
- Strong attention to detail.
- Ability to work in a fast-paced environment.
- Perform general cleaning duties.
Experience
- 2 Years’ experience working in an office environment.
Education
- High School Diploma.
